The Accounting Assistant is primarily responsible for Accounts Payable, Client Invoicing, Accounts Receivable, Project Set-up, and other accounting duties as assigned.

KEY RESPONSIBILITIES:

Accounts Payable & Employee Expenses

  • Ensure appropriate approvals on vendor invoices & expenses reports
  • Code and enter invoices in accounting software
  • Create and maintain vendor records
  • Respond to all vendor and employee payment inquiries
  • Review and reconcile vendor statements
  • Prepare semi-monthly cheque runs
  • Ensure electronic and paper files are in good order

Timesheets

  • Review semi-monthly timesheets and utilization reports for accuracy
  • Advise employees of errors and assist with correction

Project Set-Up

  • Review new projects in accounting software
  • Close projects as indicated by project managers
  • Ensure accuracy of project information: phases, billing terms, rate schedules, and other information provided
  • Liaise/assist Administrative Assistants with project set-up

Client Invoicing

  • Prepare billing reports for project managers
  • Prepare invoices based on instruction from project managers
  • Ensure complete and correct back-up is provided with client copy of invoice
  • Respond to all client invoice inquiries

Accounts Receivable

  • Review monthly accounts receivable reports
  • Contact clients regarding outstanding balances
  • Liaise between client and project manager when issues arise
  • Maintain descriptive and accurate notes of follow-up efforts

Scanning & Filing

  • Ensure all files (electronic and paper) are well maintained

QUALIFICATIONS:

  • Post-secondary degree in any discipline
  • 1-3 years general office experience
  • Some bookkeeping/accounting experience preferred

SKILLS AND COMPETENCIES:

  • Excellent communication skills (written and spoken English)
  • Must be quantitative
  • Proficient with Microsoft Suite (Word, Excel, and Outlook)
  • Exceptional time-management and organizational/prioritizing skills with great attention to detail
  • Strong work ethic with ability to multi-task, work with frequent interruptions and be flexible to take on varied responsibilities
  • Reliability and punctuality
  • Ability to handle stressful situations while maintaining composure
  • Good judgement to proactively and independently solve problems
  • Knowledge of general accounting procedures an asset
  • Experience with accounting software an asset

BENEFITS AND PERKS:

The base salary range for this position is $50,000 – $55,000 annualized for a full-time role. Salary is dependent various factors, including qualifications, skills, competencies, experience, and location. You may also be eligible for discretionary incentives and share ownership.
