The Office Administrator’s (OA) primary responsibility is to ensure the smooth operation of the RDH Seattle office. The role will be the first point of contact for callers and visitors and contributes to the positive impression of RDH by presenting a professional telephone and personal manner.

KEY RESPONSIBILITIES:

  • Act as the first contact for staff and visitors to our office while sitting at the reception desk. Greet guests and notify staff of their arrival.
  • Answer phone and direct calls to staff.
  • Handle and document incoming and outgoing courier deliveries, and incoming supply deliveries.
  • Sort, date stamp and distribute incoming mail; prepare and post outgoing mail.
  • Scan documents, download photos, update databases, create graphs/spreadsheets, research topics on the internet, and provide Word processing and photocopying support.
  • Book and set up meetings and conference rooms.
  • Handle set-up and breakdown of A/V and video conferencing.
  • Stock fridges and employee refreshment stations as needed.
  • Maintain reception area and meeting rooms in a tidy condition.
  • Keep breakroom tidy, including loading and unloading the dishwasher, restocking supplies, making coffee, etc.
  • Liaise with the office vendors, contractors, etc. and review invoicing.
  • Maintain corporate apartment upkeep and apartment calendar.
  • Order office supplies and furniture and assist with office space planning.
  • Maintain staff “out of office/vacation calendar”
  • Provide billing/accounting support for BOVHD related items.
  • Establish new vendor accounts.
  • Act as company cardholder and reconcile monthly card statements.
  • Provide Human Resources support as needed.
  • Assist with new hires, onboarding, timesheet instruction, and departures.
  • Set up desk workstations.
  • Assist staff with business card requests and clothing orders.
  • Assist with planning and coordination of office events.
  • Make travel arrangements and purchase gifts/cards for staff.
  • Order promotional items: marketing swag, office apparel, etc.
  • Assist with staff memberships and subscription renewals.

QUALIFICATIONS:

  • High School diploma/GED required
  • College degree preferred
  • Current driver’s license
  • 1 year reception/office administration
  • Experience in a consulting firm environment beneficial

SKILLS AND COMPETENCIES:

  • Excellent written and spoken English
  • Intermediate MS Office skills (MS Word, Excel, PowerPoint, Outlook)
  • Able to operate a multi-line phone system
  • Good people skills with the ability to problem solve

  • Ability to multi-task
  • Reliable and punctual
